dox42 as a unified and efficient solution for high-volume document generation with easy-to-use templates

germanBroker.net AG (gBnet) is a professional service provider that helps insurance and financial brokerage firms remain independent and commercially successful. True to its founding principle, “Achieving more together,” gBnet focuses on personal exchange, strong partnerships, and a collaborative network that creates real value for its members.

Over the years, this approach has grown into a strong broker network that brings together insurers, rating agencies, software providers, and other network partners. Together, they invest in projects and develop solutions that are innovative, exclusive, and designed for practical use. With its own coverage concepts for property and life insurance, gBnet provides its partner brokers with additional competitive advantages. Today, the service provider supports more than 700 brokerage firms across personal and commercial insurance, life and health insurance, investments, and mortgage financing.

Before introducing dox42, we used several different solutions for document generation. Over time, this fragmented system landscape created a number of challenges in our day-to-day operations:

  • Fragmented system landscape: Different applications increased maintenance efforts and prevented a centralized approach to document generation.
  • Limited traceability: When errors occurred, insufficient logging made it difficult to identify and resolve issues quickly and efficiently.
  • Time-consuming processes: Generating large volumes of documents was particularly slow and tied up resources unnecessarily.
  • Lack of transparency: It was not always easy to maintain an overview of existing templates and their respective dependencies.
  • No separation of layout and logic: Content and design changes could not be made independently and required support from IT.

With dox42, we introduced a standardized solution that addresses these challenges and makes our document generation processes significantly more structured. Our solution is based on two on-premises servers.

The first server provides a direct connection to our policy management system and enables documents to be generated automatically on premises using data from this system. The second server supports external use cases and is connected to an online questionnaire. Content from the web application is transferred as JSON and subsequently used to generate documents.

Documents can now be generated reliably, including policies, declarations of acceptance, quotations, applications, customer statements, broker commission statements, and comparisons of coverage features.

As a result, dox42 provides us with several benefits that are clearly noticeable in our day-to-day operations:

  • Significant reduction in IT workload: Business departments can adapt templates themselves. Changes can therefore be implemented more quickly, reducing the burden on IT in day-to-day operations.
  • Clear separation of layout and logic: Templates remain easy to maintain because layout changes do not directly affect the underlying business logic. At the same time, business departments continue to work in the familiar Microsoft Word environment, using the dox42 Add-In as their template design tool.
  • Detailed trace logging: The causes of errors can be isolated and identified much more quickly. Automated processing of both individual documents and high-volume document batches is now more reliable.
  • Short time to value: After only a brief familiarization period, we were able to achieve our first productive results.
  • Versatile data connectivity: In addition to direct database connections, XML and JSON data sources can also be processed. Parameters are passed automatically and reliably.
  • Custom logic using form fields: Even complex conditional logic can be implemented directly within the template.

The project was implemented together with our implementation partner, busitec. Our collaboration with busitec and dox42 has been consistently positive and collaborative: requests were handled quickly, professionally, and with a clear focus on finding solutions. An individual interface tailored to our requirements was also developed for us with minimal effort.

We plan to continue our collaboration with dox42 and busitec in the future. Additional use cases are already planned: going forward, documents related to contract management and accounting are to be implemented end-to-end with dox42, while existing content will gradually be migrated to the solution as well.
