From email-based circulation processes to transparent workflows with Intrexx and dox42

The Volksbank Freiburg eG is a regional cooperative bank with around 450 employees and a balance sheet total of approximately 4 billion euros. The bank uses Intrexx as its intranet platform to centrally map internal processes and applications.

Initial situation

Circulation processes, such as board proposals or contracts, were previously sent through the bank via email and reviewed and approved at various stages. As a result, the process was time-consuming and lacked transparency – status, decisions, and documentation were difficult to track.

Solution

IT and organizational departments jointly developed a digital circulation app in Intrexx. Documents can now be forwarded easily, quickly, and transparently for review and approval.

Automatic documentation with dox42

At the end of each circulation process, dox42 automatically generates a complete report containing all inputs, decisions, and approvals.

This ensures:

  • clear and consistent documentation
  • transparent processes
  • reduced manual effort

Why dox42?

There were no suitable standard functions available in Intrexx for creating reports and logs.
Existing solutions—such as those based on OpenOffice—proved to be too complex, prone to errors when changes were made, and did not always deliver the desired results.

With dox42, Volksbank Freiburg now creates data-driven documents directly in Microsoft Word. The templates are flexibly customizable and precisely meet user requirements.
The required data is prepared via SQL queries and systematically integrated into the documents.

Result

By combining Intrexx and dox42, Volksbank Freiburg has successfully digitalized its approval processes in an efficient, transparent, and seamless way.
